Using WinZip to Backup Millennium Data Files to Email to CDCI Support

At times, your CDCI Support Representative may ask you to make a backup of your Profit Builder Millennium data files and email them for evaluation or repair.  If you already have a copy of WinZip, click here to go to the section “Making a Back Up of Your PBM Data."  If you do not own a copy of WinZip, follow the instructions below to either purchase or download an evaluation copy from the Web.

Downloading a Copy of Winzip from the Web

1.       Go to http://www.winzip.com.  You can select to purchase or to download an evaluation copy.

2.       If you choose to download an evaluation copy, left click on the area that says “Download WinZip 8.1 for Windows 95/98/NT/2000” from a Winzip download server.

The download should begin automatically; if not, start the download manually by following the directions that are displayed on the screen.

3.       When asked what you would like to do with this file, select the default, “Save this program to disk.”  Then click OK.  The program will prompt you to save the files in a folder on your computer.

4.       Locate the folder in which you would like to save the WinZip download file.  Click on Save.  When WinZip has finished the download, you will see a download complete message window.  Click on the Close button.

5.       Go to Windows Explorer (right click on the Start button and choose Explore) and locate the WinZip80.exe download file.

Once you have found it, double click on it to open it.  The screen shown to the right will appear.  Click on Setup.

6.       After you click on Setup, a window will flash telling you that it is preparing setup and then you will see the window shown to the right.

7.       Click OK to install WinZip in the default folder name.  When the installation is complete, the program displays two messages.  Click OK for each one.

8.       Read the WinZip license agreement and then click on Next.  You must accept the license agreement before the QuickStart window appears.  When this window appears, click on Next.

9.       When the WinZip Setup window is displayed, select to start with “WinZip Classic” and then click on Next.

On the screen that follows, accept the default, Express Setup, and then click on Next.

10.   When the installation is complete, a window will popup with a shortcut that you can drag onto your desktop.  (You can also right click on the shortcut, select Copy, go to your desktop and select Paste.

WinZip is now installed and ready for making backups!

Making a Backup of Your PBM Data

1.       Double click on your WinZip shortcut or go to Start > Programs and select WinZip.  A window like this will be displayed.

2.       Select New, then locate and select the folder in which this file will be saved.  Enter a name for the backup or archive file you will be creating.  We suggest you use the date and your company ID.  For example: a backup made on 12/31/2001 for CDCI would be named 123101cdci.zip.  Click OK to create the file.

3.       You will notice that the Add button is now active.  Click on Add and then locate and select the file you wish to include in the backup using the drop down button, highlighting the filename and then click on Add.

Here is a list of the data files (.mdb files) that you need to add to the zip file for a complete PBM backup:

Folder                    File Name              Contents Description

\PBM                      QASYS.mdb           System control database

\PBM\dddddddd       dddddddd.mdb         Main company database where dddddddd is the company ID

ddGLyyyyy.mdb        GL detail database where dd is the company database prefix
and yyyy is the fiscal year.

ddPMCOST.mdb      Job Cost detail database where dd is the company prefix

\PBM\QOC                     QOC.mdb                      Contact database.  Note: if you use company specific databases,
add the qoc.mdb that is in the company folder.

4.       Repeat this process until you have added all files to the zip archive file.  Close the archive.

Emailing Your Backup To CDCI Support

1.       Log onto your email and prepare a new message.  When sending a data file you must address the email to the analyst who requested it.  DO NOT send any data to support@cdci.com.  In the email, be sure to include your company name, your name, phone number and a description of the problem that you are experiencing.

2.       Click on Attach and locate the zip archive file (in our example, locate 123101CDCI.ZIP) that we created in the previous step.  Click OK and then send the email.  You should receive a confirmation from CDCI within 24 hours that your data has been received.
