Backup / Restore / Archiving

In the Basic Modules Learning Companion, you are stepped through an interim backup of your Company Folder in the PBM directory.  However, there are instances where you will need to not only backup your company folder, but append the Qoc.mdb (contact information) and the Qasys.mdb (company information).   To do this:

 

 

1.  Go to File > Backup/Restore

2.  Click Backup

3.  Open C:\pbm\play in the From Box

4.  Open C:\pbm\bu_play in the To Box

5.  Click New Backup

6.  Click All Subdirectories

7.  Click Run

This backs up the company folder. The default file name .zip file created during the backup is formatted as “bu” plus the date. This file name can be changed!

 

Example:  bu000717.zip.  The file is structured as follows:

 


To attach the Qoc folder to the backup of the company folder:

1.  Click OK

2.  Click C:\PBM\QOC in the From Box

3.  Click Run


To attach the Qasys.mdb file to the company folder and Qoc folder backup:

1.  Click OK

2.  Click on C:\PBM\QASYS.mdb

3.  Click on Run


If you use a program such as WinZip, you can open the zip file to see the contents of the backup file by going to PBM\bu_play and double clicking the backup file.  It will be a zip file with the date of the backup prefixes with “bu” as the file name.

Restoring a Backup

 

Go to File > Backup/Restore


1.  Click Restore 


2.  In the From box, Open the folder c:\pbm\bu_play

 

3.  Click the bu******.zip file name. This selects the zip file created during the backup. 

      Example:  bu000717.zip.The file is structured as follows:

                 

 

4.  In the To box, open the folder c:\pbm\Play

 

5.  Click All in the Restore Options box.  This will restore all of the files from the backup or you choose  

     selected files to restore.

 

6.  Click Always Overwrite. This restores your current files with the files located in your backup without

     prompting you to overwrite the files as it finds duplicate file names.

 

7.  Click Run

 

8.  Click OK

 

9.  Click Exit

 

Archive Using Backup/Restore

 

“Archiving” your data allows you to store older data in a separate company, then you can delete (or purge) the older data in your "live" company.

 

Steps to archive your data in Millennium:

 

1.       Back the following files from the PBM Directory to a network folder, diskette, or other media:  Company Folder, QOC Folder, and QASYS.mdb.

 

2.       Purge data included in the archive backup

 

3.       Create a “mirror” company using Tools > Companies > Add. You may want to name the company with the year so you can track which year us archived, for example "Play2003"

 

4.       Go to PBM\company folder

 

5.       Delete all of the files in the “mirror” company folder (DO NOT DELETE the folders GLJE, and PRTIME)

 

6.       Restore your backup to the “mirror” company

 

7.       Change the Prefix for all files restored in the “mirror” company to match the prefix in Tools > Companies

 

8.       You now have access to “purged” data.
