PBM Database Repair, Compact & Edit

The Repair Database function enables you to run the Microsoft Access Version 2.0Ň Repair program on any database with an .MDB extension.  This utility is designed to repair damage caused by power failures or surges that occur while Access is in the middle of an update function.  It will rebuild the indexes and repair all tables in the database.

Use the Repair function in the following instances:

1.       Cannot Post a Journal Entry

2.       Error during Time Card Entry

3.       Error: “Can’t find…”

4.       Error: “ xxxx.mdb is corrupt or not an MS Access Database…”

5.       Turned off Machine or Power Outage while entering data

6.       *Screen “Freezes” when entering data

The Compact Database utility allows you to run the Microsoft Access Version 2.0Ň Compact program against any database with an MDB extension.  This utility frees up unused space resulting from record deletions, and organizes the data by table.

We recommend that you compact your company database(s) on a regular basis.  This will make the database smaller and improve the time it takes to access your data.  For example, if you have incomplete records caused by a system “lock up” during posting entries of Accounts Payable, Accounts Receivable, Payroll, or General Ledger.  Another example would be records with zero amounts ( Accounts Payable invoices with no distribution).

The repair and compact utilities can be run outside of Millennium (e.g., if you need to repair the qasys.mdb) using the pbmdb.exe utility program or from Millennium using Tools > Database > Repair and Compact.

Running Database Repair/Compress Outside of Millennium

1.       Using Windows Explorer, go to the PBM folder, find pbmdb.exe and double click on it to start the utility program.

2.       Locate the database file you wish to repair and highlight it.

3.       Select the operation – repair or compress (i.e., compact).

4.       Click on Run.

Running Database Repair in Millennium

1.       Go to Tools > Database > Repair

2.       Highlight the folder

3.       Select the database to repair

4.       Click OK

5.       Click Exit

Running Database Compact in Millennium

1.       Go to Tools > Database > Compact

2.       Highlight the folder

3.       Click the database to compact

4.       Click OK

5.       Click Exit when complete

Database Edit

The Millennium Database Edit allows you to edit data that is stored in the database tables.  Editing your tables can cause problems in your system if not done correctly.  Many tables are tied to other tables.  You will need a password to access the Database Edit function.   Contact CDCI Support at support@cdci.com for assistance.
