When “proof is not equal to zero” on the GL Posting Preview Report
1. Go back into GL => Reports => Posting Preview and select the report for all modules and all months. Make a note of (or print) the report totals and proof. If the proof is not equal to zero, continue. Otherwise, you are fine, just be sure to do GL => Process => Postings in each new month after closing the previous month.
2. Now in GL => Reports => Posting Preview, select the report for all modules and one month at a time. Make a note of (or print) the report totals and proof. If in any month the proof is not equal to zero, continue. Otherwise, you are fine, just be sure to do GL => Process => Postings in each new month after closing the previous month.
3. For any month that the proof does not equal zero, you need to redo the report, selecting and printing one module (AP, AR, PR, or GL) for one month at a time. If in any module, the proof is not equal to zero, continue. Otherwise, you are fine, just be sure to do GL => Process => Postings in each new month after closing the previous month.
4. Now, by using this last report (of one module for one month) and the audit reports (which should all have had a PROOF=ZERO) from the processing done in that module for that month, you will be able to determine if all the appropriate GL postings were completed.
5. Sometimes, a report from Processing will have a PROOF=ZERO, but a few postings may not have had time to POST in GL. This can cause the GL Preview Posting report to have a proof not equal to zero, since some of the balancing postings were already processed at the correct time in that module. You should be able to find that the rest of the balancing postings are in the “Detail of Ledger Posting” report. Normally, you will usually find everything is in balance. However, do not make any correcting General Journal entries until you are closing the month, if necessary, to correct for any real missing postings.
