Updating or
Changing Control Information Within an Established Company
You can access
Control Information from the Add/Edit menu in any module.
The General tab brings up the general company information screen that now
has fields for not only company name, address, and phone numbers, but has been
expanded to include FAX,
The Payables tab enables you to set the next available AP check number along with three AP option settings:
1. Ability to use separate check numbers for AP and PR. In General Ledger, you may use separate Bank accounts and/or separate check-number ranges and/or creating separate Cash Accounts for AP and PR, and then enter those new numbers under the Process sub-menu.
2. Option to have system notify you of JC Budget Overruns.
3. Handwritten/paid check option. If this option is not activated (the default) the system will mark the check number for a paid invoice entry as already printed. If you input an invoice that has already been paid, then that check will be marked by the system that it does not need to be printed. Turn the option on if you wish to print the associated with an invoice entered as paid. It will then be available for printing under AP Reports >> Checks.
The Receivables tab brings up the following AR option settings.
1. Use of default AR income account number from the previously saved entry.
2. When the Customer Year End rollover should occur ¾ when the first invoice is processed for the new Fiscal year or the new Calendar year.
The General Ledger tab displays the current open month, year, and the month that the Fiscal Year ends. Default account numbers for period close are entered here.
The Payroll tab provides entries for the next valid check number, along with the overtime rate multiplier used for PR calculation. Processing defaults include:
1. Option to post payroll 1 payroll record per employee to JC Detail or a consolidated posting for each job/category.
2. Option to use separate check numbers for AP and PR (under General Ledger, you may use separate Bank accounts and/or separate check-number ranges and/or creating separate Cash Accounts for AP and PR, and then enter those new numbers under the Process sub-menu).
3. You may want to deactivate the “Validate Social Security Number” option if you find that you have employees with new SS numbers, since the government is not publishing the new ranges.
The System tab brings up the screen where you may review and/or edit the pre-processing Backup Data path and the Archive Data Path (which should be reviewed and saved before each “Process”). Also, you may choose the option of “Use Printer Dialog” in order to have greater control of printer functions.
